Frequently Asked Questions
Q. How do I send in a blanket release?
A. We do not have a specific blanket release form. The photographer will need to e-mail a release to severs@usef.org or fax to Sarah Evers at (859) 231-6662 giving permission for any of their photos to be published in the Horse of the Year issue.
Q. The photographer told me that they have already sent in a blanket release in previous years. They are not on the current blanket release list. What is going on?
A. We need to get a blanket release from photographers every year. Please let the photographer know this and ask them to send in a release for this year.
Q. We are running out of time to send an image. Is a digital image acceptable?
A. We are unable to accept digital photos. This is for a multitude of reasons. Please send in a print.
Q. My photographer only produces digital images. Will you accept it?
A. We are unable to accept digital photos. You can have a print made at a photo developing story or choose a photo from another photographer. Either way, we need a print.
Q. Can you verify receipt of my image?
A. We cannot verify receipt of a packages due to the high volume of packages we receive (600+). If you would like verification that it was received, please send by certified mail, FedEx, UPS, etc. Please keep your tracking number.
EQUESTRIAN magazine will publish its annual photo gallery and roster of all Farnam®/Platform™ USEF Horse of the Year (HOTY) champions in the March 2008 issue, in addition to the National Silver Stirrup award winners. Owners of CHAMPIONS ONLY are invited to submit photos for publication in the photo gallery. Notification letters will be sent and final standings will be available on the website on December 18, 2007.
To ensure that your photo is published, please follow the checklists below.
My Submission
I am sending a photo print that is 3”x5” or larger. (No digital images will be accepted).
The photo is not a photocopy, a home-scanned photo, or a photographer’s proof. Note: It is illegal to scan or otherwise duplicate a professional photo. Any such photos that we receive will not be published.
I have included the following information (if there is missing information, the photo may not run):
Horse’s name as it is recorded with USEF,
Exact name of the award(s) won, which includes Grand National, National, Region or Zone and the division
Recorded owner’s name, city and state (the rider information will not be published due to space limitations)
Return address and phone number
If this is a photo for a Silver Stirrup National Champion, I have also included the horse’s sire and dam information.
Photographer’s name and contact information
We highly recommend sending your materials via a trackable shipping system.
If I wish to know that my photo has arrived, I have sent by certified mail, FedEx, UPS, etc.
Note: Due to the high volume of packages received, USEF cannot confirm receipt of a package.
Note: Please do not send the only copy of the photograph. USEF is not responsible for lost or misdirected mail.
Multiple Awards
If my horse has won more than one award, I can submit more than one photo if it is across disciplines (for example, a jumper award and a Western award; a hunter award and a driving award, etc.)
A second image will not be published if it is within one discipline (for example, a hunter junior exhibitor and a hunter open award; dressage awards at different levels, etc.).
Instead, I have indicated which award should feature the photo.
If I have won a Horse of the Year award and a Silver Stirrup award, I can submit a photo for each.
Photographer’s Release
I have checked the website at www.usef.org/hoty/blanketrelease.html to see if the photographer has sent in a blanket release.
If the photographer has not sent in a blanket release, I have included an individual release with my photo.
Note: Any photos that do not include a release for publication from the photographer, whether a professional photographer or a family friend, will not be published.
Getting My Photo Returned
If I wish my photo to be returned, I have included an appropriately sized, self-addressed, stamped envelope (SASE). Otherwise, I understand that it will not be returned to me.
Deadline
I am submitting all materials to arrive no later than Wednesday, January 16, 2008.
Note: Any photos received after the deadline cannot be published due to publication deadlines.
Please mail photos to: EQUESTRIAN magazine
